Record donations and gifts received by your organization.
From the left menu, go to Financials > Create Giving Record
Record what account you want money to go into from the drop-down menu. A few accounts such as Bank Account, Paypal and Petty Cash have already been set-up for you, to set up more accounts, go to the Financial Administration page to add Accounts.
Select date by clicking on this bar for calendar to pop up
If this is a Batch Record – check box and fill out end date and if this is Monthly or Weekly from pull down menu. Batch Records help if you are behind in entering giving records and therefore have more than one entry to make from same individual with the same amount each week or month. Check Batch Records and put in the beginning date that needs to still be entered and then ending date so each one can be entered at the same time, helping with more efficient processing. This is ONLY for those entries that are for the same amount and from the same person/company.
From pull down menu select who this gift is from (Individual, Loose cash/coin,
Organization/Company or Unassigned)
If from an Individual or Company, start typing person’s name or company name to quickly find in list and select.
Enter amount and select currency type from pull down (USD for United States currency, etc.)
Select type of payment from pull down menu (Cash, Check, Electronic Transfer, Paypal, Unknown)
If payment was from a check, enter check number in next line
Enter any reference number, note, or memo if necessary
By entering a Deposit Slip number you can then generate deposit reports
Select an Income/Tax classification from the drop down menu to help you with tax forms.
Check box if this is a Tax-Deductible gift.
Select Gift Type from drop-down menu. This will help you with tax forms when needed!
Apply to Fund/Purpose: Select from the drop-down menu where this money should be applied to. If you do not see the Fund needed, click on “Add Fund” to the right and add.
Apply Toward Person: Start typing in person’s name of who fund, such as a Mission Trip fund, is to be applied toward their Mission trip fund.
Apply Toward Pledge: Start typing in name of Pledge of where fund is to be applied.
Select from drop-down menu where you would like to go next (Enter Another Blank Gift, Enter Another Similar Gift, Create Deposit and Enter Another Gift, Go to Person List, Go to Financial Admin, View Donor)
Click on “SAVE” to save to record this giving/donation record before exiting this page!
